Recordings & retention policy

What gets recorded, and when

Your practice calls are only recorded if you've given recording consent. Without it, we still keep a text transcript so your call can be scored and coached, but no audio is captured. You can grant or withdraw recording consent at any time from inside the app - withdrawing it stops future calls from being recorded but doesn't affect past ones.

Where your content lives

Recordings are stored in encrypted object storage. Nobody, including your dealership's lead, gets a direct link to a file - every playback goes through a short-lived, signed URL generated specifically for that request and that person, and only if your dealership has manager replay turned on.

How long we keep it

Each dealership sets its own retention window (90 days by default). Once a practice call is older than that window, its recording and transcript are automatically and permanently deleted. Your scores and written feedback are kept so your coaching history stays intact - only the raw recording and transcript are purged.

Your right to purge or withdraw, any time

You can purge the recording and transcript of any of your own practice calls whenever you like, straight from that call's debrief page - no need to wait for the retention window. You can also withdraw recording consent at any time, which stops any new calls from being recorded.

If you leave your dealership

Your practice content is purged automatically once it reaches the retention window, the same as anyone else's. If you'd like it removed sooner after you leave, just ask us (see below) and we'll purge it on request.
