Who's responsible for your data

WarmUpCall (operated by Sonne Solutions, Ltd.) is the responsible party for the personal information described in this policy. If you have a question or a request, contact us at support@warmupcall.com.

What we collect

We collect only what we need to run the practice platform:

  • Account basics - your name and email, and if you sign in with Google, the basic profile details Google shares with us.
  • Organisation and membership data - which dealership you belong to, and your role there (lead or rep).
  • Practice-call content - audio recordings (only if you've given recording consent), transcripts, and the AI-generated debriefs and scores from your practice calls.
  • Consent records - a log of the consent choices you've made, so we can honour them.

Why we use it

We use your data to run practice sessions and score them, to give your dealership's lead the coaching and reporting tools they need to help their team, and to keep the platform working and secure. We don't use your data for anything beyond running WarmUpCall for your dealership.

Who else touches your data

We rely on a small number of service providers to run WarmUpCall: an email delivery provider for account and notification emails, a cloud hosting provider for storage and compute, and an AI provider that scores your practice calls and generates debrief feedback. Each only sees what it needs to do its job, and none of them may use your data for their own purposes. We also use self-hosted, cookieless analytics to understand aggregate site usage — page views only, never tied to your identity or your practice calls.

How long we keep it

Practice-call recordings and transcripts are kept for your dealership's configured retention window and automatically purged after that, every night. See our recordings & retention policy for the detail on how that works, and how to purge or withdraw consent early.

Your rights

Under POPIA, you can ask us to let you access, correct, delete, or object to the processing of your personal information. You can exercise most of this yourself in-app (e.g. purging a call's recording from its debrief page); for anything else, email support@warmupcall.com and we'll action it.

We don't sell your data

We never sell, rent, or trade your personal information to third parties. It stays inside WarmUpCall and the service providers listed above.

Cookies

We use a single session cookie to keep you signed in. We don't use advertising or tracking cookies.

Changes to this policy

We're in open beta and this policy may change as the product evolves. We'll update the date above whenever it does.
